USE OF DATA

The data we collect through our activities is used by the authorised ICCFR board members who are involved in the implementation of activities and staff members. The data is processed when necessary in order to provide a requested service (e.g. to send information to our mailing list and to organise our annual conferences or similar activities

ANONYMOUS DATA COLLECTION / SERVER LOG FILES

In general, you can visit our website without telling us who you are. Some data is collected by our webserver, such as:

  • the type of browser and its version,
  • the operating system used
  • the domain name of the Internet service provider,
  • the IP address of the computer you are using,
  • the website from which you visit us and
  • the date and duration of the visit.

Such information does not allow us to identify you. We may evaluate this data for statistical  and securtiy purposes and in anonymous form. There is no merger with other data from other sources. As an individual user you remain anonymous.

The provisions below serve to provide information as to the manner, extent and purpose for collecting, using and processing personal information by the provider. COOKIES

The ICCFR website use cookies in a very limited way when a user browses around the site. It does not employ any sort of visitor tracking (such as site analytics or advertising).

There are three specific scenarios where cookies may be used:

  1. We use a cookie to store your responses to our Cookie Notification Banner, so that we know how to manage your cookie preferences;
  2. If you make a payment on our website, such as when registering for one of our annual conferences, our payment processor may set fraud-prevention cookies;
  3. If you are an ICCFR-authorised individual, with the proper credentials to log into the Content Management System (CMS) for this website, we may set cookies to remember details of the pages you edit/update. This is not applicable to anyone who browses the site without logging in.

Payments on the ICCFR website

All payments on the ICCFR website are handled by our payment processor, Stripe. When making a payment via the site, you will be redirected to Stripe’s secure payment page to enter your payment details. Those details are never stored on ICCFR’s systems, and ICCFR have no access to that information.

For the purposes of fraud prevention and to allow payments to be made without storing payment card details on ICCFR systems, Stripe may set cookies on your device. The cookies are named ‘__stripe_sid’ and ‘__stripe_mid’. These functional cookies are necessary for the purpose of taking your payment securely.

‘CMS’ users with login credentials

As editor of the website, if you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Your browsers settings, enable you to manage the cookie options. There you usually have the possibilities to

  • view the stored cookies,
  • allow cookies,deactivate all or specific cookies,
  • deactivate all cookies when closing the browser and / or
  • block cookies.

You can prevent the setting of cookies or delete them by adjusting the settings in your browser menu. Be aware that a general blocking of all cookies may affect the functionality of websites that you visit. However, as not being an editor, disabling cookies for the ICCFR website should not result in major impairments for reading the content of our website.

PERSONAL DATA

Your personal data (e.g. title, name, house address, email address, phone number, bank details, credit card number, job description and personal interests) are processed by us only in accordance with the provisions of the EU General Data Protection Regulation (GDPR) (more information here: https://ec.europa.eu/info/law/law-topic/data-protection/reform_en) and German data privacy laws. The provisions describe the type, scope and purpose of collecting, processing and utilising personal data. Please be aware, that the given data privacy policy applies only to our website. If links on our pages route you to other pages, please enquire there about how your data are handled in such cases.

Your personel data my be collected in three different interactions:

  • registration for a ICCFR-conference, webinar or similar,
  • communication by our contact form or email,
  • subscription to our newsletter / mailing list or
  • becoming an editor of the website.

As a general rule your data will only be used to respond to your inquiry.

Registering for a conference

For users that register (e.g. for a conference, webinar etc) on our website, we store the personal information you provide in your registration.
Personel data given to the organizers will be used for the realization of the conference. In case there is a co-host of the conference, the registration data might be shared with them. Additionally the realization of the conference might make it necessary to give some data to third parties, as sometimes a non-published participation list has to be given to grant authorities. Besides this, without your explicit consent or a legal basis ICCFR will not pass the data on to third parties. In case of registering for a conference, please be aware, that there might be a list of participants handed out to all participants and that photos might be taken for the purpose of publicity work. If you do not want to be on this list or on the photos, please give a note to ICCFR by using our contact form. We will have extra notices and ask for consent for this at the respective cases.

Communication by our contact form / email

When contacting us per contact form, the data you submit in the form will be transferred to us. Additionally your IP and the date of transmission is stored. There will be no sharing of those data with third party. The data that is provided to us will be only used for the communication with you. When sending an email, the personel data included in emails will transferred to us. Again, this information will be only used for the communication with you and not shared with others. Nor is any of this information matched to any information that may be collected by other components of our website.

Please be aware that in general the transmission of data via the internet (e.g. e-mail) can offer security vulnerabilities. It is therefore impossible to safeguard the data completely against access by third parties. We cannot assume any liability for damages arising as a result of such security vulnerabilities.

Newsletter / Mailing list

The mailing list is served about four times a year, informing about upcoming events by ICCFR and calls for proposals. Our newsletter system stores subscriber’s data in our database only and does not transfer any data to third parties. We use a double opt-in system to subscribe. Our system collects the data you provide. The only mandatory data needed is your email address, which we need to send the newsletter. All other information you may in the subscription fields are voluntary. However, the system collects your IP address as well as the date and time at the moment of the subscription and whenever an action on the subscription is performed. This serves to protect us in the event a third party improperly and without your knowledge makes use of your email address to subscribe to our newsletter. We will not collect any other data. The data thereby collected is used solely for the purpose of receiving our newsletter. No data is transferred to third parties. Nor is any of this information matched to any information that other components of our website may collect. You may cancel your subscription to the newsletter at any time. You will find additional details in the email confirming your subscription as well as in each newsletter: you will find links to unsubscribe and to update the information about you at the bottom of each email you receive by the system.

Besides unsubscription by the user, data of subscribers is deleted in case when emails bounce back or subscription are not confirmed. Also you will find a link in our emails which you may use to access your own profile editing panel where you can change every detail of your subscription.
If you forward one of our email from the newsletter system, please be aware, that you might want to delete these informations before forwarding, since otherwise yo share all the content of the email, potentially including personel information. We have no interest and no possibility to obtain personel data of persons you forward the email to, unless they subscribe to the list themselves.

PayPal (PayPal Inc.)

PayPal is a payment service provided by PayPal Inc., which allows users to make online donations using their Paypal credentials. PayPal Inc. collects various types of Data as specified in the privacy policy of the service. SAFEGUARDING YOUR INFORMATION

We take reasonable and appropriate measures to protect personae Information from loss, misuse and unauthorized access, disclosure, alteration and destruction, taking into account the risks involved in the processing and the nature of the personal information.
If you have an account on our website, which requires a username and password to log in, it is your obligation to keep username and password secure, and not to disclose it to a third party. Passwords are encrypted, which means that we cannot see your passwords and that we are not able to resend forgotten passwords to you. We can only reset them.

Please be aware that data transfer via the internet is subject to security risks and, therefore, complete protection against third-party access to transferred data cannot be ensured.

ACCURACY, RETENTION AND ACCESS TO YOUR DATA

We do our best to keep your data accurate and up to date, to the extent that you provide us with the information we need to do so. If your data changes (for example, if you have a new email address), then you are responsible for notifying us of those changes. Upon request, we will provide you with information about whether we hold, or process on behalf of a third party, any of your personel information. We may also retain and use your information in order to comply with our legal obligations, resolve disputes, prevent abuse, and enforce our agreements.
We will give you access to any personel data we have collected from you within 30 days of any request for that information. You may request to access, correct, amend or delete information we hold about them by contacting us. This does not include any data we are obliged to keep for administrative, legal, or security purposes. There is no charge for an individual to access or update the personal data. Pages on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
